How to choose a TMS: 12 questions before you sign

Every TMS looks good in a demo — clean data, three orders, nothing breaks. The difference shows after a month with real clients, real carriers and real accounting requirements. Twelve questions to ask before you sign.

Data: 1. How many times is an order entered? 2. How is a new company added — by VAT number from VIES or by hand? 3. Can you import your existing clients, carriers and invoice history?

Daily work: 4. Is there a driver app with loading/delivery confirmation and a CMR photo? 5. What does the client see — notifications, CMR and invoice by email? 6. What does the carrier see — the order, document upload, confirmation, no registration? 7. Who can see what — dispatcher, accountant?

Documents and money: 8. Is the CMR filled from the order and ready for e-CMR (eFTI, 2027)? 9. Does the invoice come from the delivery, with the right currency and VAT logic? 10. Is there an export to your accounting package (DATEV, Xero, local)? 11. Does the bank statement reconcile with invoices automatically?

The contract: 12. Can you leave — monthly subscription, no long-term contract, full data export?

Bonus: how long until a dispatcher works alone? A good TMS for a 3–30 person company is learned in an afternoon.
